Terms and Conditions for Guest Gala

Last Updated: October 12, 2026

Roman Software Inc., an Alberta corporation (Corporation No. 2026742201), operates Guest Gala. References to "we", "us", and "our" mean Roman Software Inc..

These terms govern Guest Gala's wedding photo, video, and guest-message service, including host accounts, purchases, guest submissions, galleries, and downloads. A 'host' is the account holder responsible for a wedding, a 'guest' is someone who submits or accesses content through an event link, and 'content' includes photos, videos, messages, names, and cover images. The terms apply to hosts and guests according to their use of the service.

1. Agreement and eligibility

Read these terms before creating an account, purchasing the service, or submitting content. By doing so, you agree to these terms to the extent permitted by applicable law. If you do not agree, do not use the service.

Hosts and purchasers must have reached the age of majority where they live and have legal capacity to enter into this agreement. If acting for an organization or another person, you must have authority to do so. Guest uploaders must be at least 16, with parent or guardian permission where they are below local adulthood or permission is otherwise required. Younger guests must contribute through an adult.

These terms do not exclude or limit consumer, privacy, cancellation, refund, or other rights that applicable law does not allow you to waive. If a provision conflicts with such a right, that right prevails.

2. Accounts and event links

Provide accurate account information and keep access to your email account and sign-in links secure. You are responsible for activity you authorize through your account. Tell us promptly if you suspect misuse or unauthorized access.

Hosts control their wedding page, sharing settings, and event link. Event links and QR codes can be forwarded, and guests do not need a verified account or password. Share them only with the intended participants. Enabling the shared gallery allows people with the event link to view uploaded media and uploader names.

The 'My Photos' feature uses a browser identifier to associate uploads with a browser; it does not verify a person's identity. A host can disable the guest page. We cannot recall content that other people have already downloaded or saved.

3. What a purchase includes

A one-time purchase covers one wedding and its related celebrations, such as engagement events, showers, and wedding-weekend gatherings. It does not provide a recurring subscription, permanent storage, or a reusable package for unrelated weddings or client events.

The package includes an unlimited number of guests and up to 2,500 guest photos and videos in total per wedding, within a total allowance of 50 GB of stored original media. The file limit includes uploads that are still in progress. Each guest photo or video must be no larger than 1 GiB. Supported formats and any feature-specific requirements are shown in the relevant upload interface.

For the total allowance, 1 GB means 1,000,000,000 bytes. The per-file limit of 1 GiB means 1,073,741,824 bytes. Generated previews and temporary download archives do not count against the original-media allowance. Deleting original media frees the associated storage allowance and file-count capacity. You must keep stored original media within the package limits; we may restrict further uploads when a limit is reached. We do not automatically charge overage fees.

Free access lets you try the features made available in the trial. Features that require payment remain subject to purchase. Trial availability does not grant the paid storage package or permanent access.

4. Fees and payment

The current advertised one-time package price is $39.99 before applicable taxes. The price, currency, applicable taxes, and total shown before payment at checkout apply to your purchase. Stripe processes payment, and your payment provider may apply currency-conversion or other charges outside our control.

You must be authorized to use the payment method and provide accurate checkout information. Paid features are activated after successful payment verification. There are no automatic subscription renewals or automatic charges for additional storage.

We may change published prices or packages for future purchases. A later change does not increase the price or reduce the package already agreed for a completed purchase.

5. Storage term, downloads, and expiry

The paid storage term begins on the date of purchase and lasts 12 calendar months. It begins at purchase, even if the wedding takes place later or guests have not yet uploaded content. There is no pause or automatic reset of the term when the event date or page settings change.

When the 12-month term ends, new uploads stop and the host has a 30-day download-only grace period. Wedding media is deleted after that grace period and cannot be recovered through the service. We do not send expiry reminders. You are responsible for tracking the purchase date and downloading the content you want to retain before the grace period ends.

Download links and generated archives can have shorter expiry periods than the storage term. A link expiring does not itself mean the original content has been deleted; another download can be requested while download access remains available. Keep independent copies of important content. The service is not a permanent archive or a substitute for your own backups.

Earlier deletion can occur at the host's request, following an eligible privacy request, or when content must be removed under these terms or applicable law. Account and transaction records may be retained separately as described in the Privacy Policy.

6. Seven-day refunds and statutory cancellation rights

You may request a full refund for any reason within seven calendar days of purchase, including if you have used the service. Email the contact listed below with the account email and enough purchase information to locate the transaction. We do not deduct a usage or payment-processing fee from this voluntary full refund. Refunds are returned through the original payment method where possible; payment-provider processing times may vary.

A refund cancels the purchased entitlement. Download any content you want to keep before requesting cancellation, and contact us if you need help arranging an export. Cancellation does not remove copies that other participants already hold, or records we must lawfully retain.

The seven-day policy is additional to applicable consumer rights. It does not replace longer cancellation periods or remedies for a service that is defective, unavailable, or not provided as agreed. For EU and UK consumers, an applicable distance-contract withdrawal right generally lasts 14 days from conclusion of the contract, subject to the rules and exceptions that apply. Starting or using this continuing service does not by itself waive that right.

You can notify us of an applicable withdrawal by a clear statement identifying your account and purchase and saying that you wish to withdraw. We do not require a particular form, and you may use another cancellation method provided by applicable law. We handle statutory refunds within the applicable legal deadlines and do not make deductions unless the law permits them and all required conditions have been satisfied.

7. Ownership and permission to operate the service

You retain the rights you hold in your content. Uploading it does not transfer ownership to Guest Gala or automatically transfer copyright to the host. You must own the content or have permission from its owner and obtain any necessary permission from the people depicted or identified, including required parent or guardian permission for children.

You grant us a non-exclusive, royalty-free licence to receive, store, copy, process, resize, display, and deliver your content only as reasonably needed to provide and secure the service and carry out the sharing settings selected for the wedding. This licence applies worldwide because our infrastructure and providers may operate internationally. We may authorize our service providers to perform those functions on our behalf; it does not give them a general right to exploit your content.

The service licence ends when the content is deleted, except for limited processing needed to complete deletion, clear temporary copies and backups, comply with law, or resolve a dispute. Content already downloaded by an authorized recipient is subject to the rights and permissions applicable to that copy.

We do not sell or license uploaded content for unrelated commercial use or use it to train artificial intelligence models. Use in our advertising or promotional materials requires separate permission from the relevant rights holders and any other required consent.

8. Host and guest responsibilities

By submitting content to a wedding, you permit the host to receive, view, download, and use it for personal purposes connected with that wedding, and permit its display to event-link holders when the host enables the shared gallery. Hosts must respect the uploader's rights and any applicable privacy rights. Public posting, including social-media posting, requires the uploader's permission and any additional consent or licence needed from people depicted or other rights holders.

Hosts are responsible for selecting sharing settings, communicating them to participants, and collecting and using guest information lawfully. Guests are responsible for deciding what they submit and ensuring that they have the necessary rights and permissions. Sending content to a wedding does not authorize every possible future use of it.

If you need content removed, contact the host or contact us using the details below. You may contact us directly about your own privacy or copyright rights even if you do not have an account. We may request information reasonably needed to identify the content, verify the request, and investigate the issue.

9. Acceptable use and content complaints

Use Guest Gala for legitimate wedding and related celebration purposes. The following uses are prohibited.

We may investigate complaints and remove or restrict access to content or accounts where reasonably needed to address a breach, an infringement, a safety or security concern, or a legal requirement. We do not promise to review every upload before it appears. Provide the wedding or content location, the reason for a complaint, and enough information for us to respond when reporting a concern.

  • Upload unlawful content, exploitative content involving children, non-consensual intimate imagery, or content that infringes copyright, privacy, or another person's rights.
  • Harass, threaten, impersonate, deceive, or expose private information about another person without lawful authority.
  • Distribute malware or spam, attack the service, interfere with another user's access, or attempt unauthorized access to accounts or stored content.
  • Bypass storage, file, payment, access, or security restrictions, or use the service as unrelated bulk storage.
  • Resell access or use a purchased wedding package for unrelated weddings or commercial client events without our agreement.

10. Our intellectual property and third-party services

The Guest Gala software, branding, website design, and materials we provide belong to us or our licensors. We grant you limited permission to use them as needed to use the service and share your wedding link or QR code. You may not copy, resell, or exploit the software or branding outside that permission, except as applicable law allows.

The service uses third-party infrastructure and links to third-party sites. Their own terms may apply when you deal with them directly. We remain responsible for obligations applicable to our service and do not exclude mandatory rights merely because a third-party provider is involved.

11. Privacy and deletion requests

Our Privacy Policy describes personal information we collect, sharing with service providers and wedding participants, cookies and analytics, international processing, retention, and privacy requests. It is available through the Privacy link on this page. These terms do not replace any separate consent required by privacy law.

Hosts can delete individual media and messages. Requests for account closure, eligible deletion, access, or correction can also be sent to our Privacy Officer. We handle them within applicable deadlines and complete eligible active-system deletion within 30 days, or sooner where required by law, subject to any lawful exception or extension. Temporary archives, backups, legally required records, and copies already held by recipients are subject to the limitations explained in the Privacy Policy.

12. Availability, suspension, and discontinuation

We use reasonable efforts to operate and maintain the service. Maintenance, network failures, third-party outages, or other technical issues can affect availability and uploads. We do not guarantee uninterrupted or error-free operation or successful recovery of every file. These statements do not remove any standard of care or remedy required by law.

We may suspend access where reasonably necessary because of misuse, non-payment, a security issue, or a legal requirement. Where practical and lawful, we provide notice and an opportunity to resolve the issue. Urgent or unlawful content may need immediate restriction or removal. Any refund rights remain subject to the seven-day policy and applicable law.

If we discontinue the service before your purchased term ends for reasons unrelated to your misconduct, we will, where reasonably possible, provide notice and a 30-day opportunity to download your media. We do not offer an additional voluntary shutdown refund guarantee. This does not limit any refund, compensation, or other remedy required by applicable law.

13. Liability

To the extent permitted by applicable law, our total aggregate liability to you arising from or connected with the service for an affected wedding is limited to the greater of the fees you paid us for that wedding and $100. Where applicable law permits, we exclude liability for indirect or consequential losses, including lost profits or business opportunities.

These limitations do not apply to fraud, gross negligence, deliberate misconduct, or any liability or remedy that applicable law does not allow us to exclude or limit. They do not restrict your mandatory consumer or privacy rights. A limitation that is unlawful or unenforceable in your circumstances does not apply to that extent.

14. Governing law and disputes

These terms are governed by the laws of Alberta and the federal laws of Canada applicable there, subject to mandatory laws and protections that apply where you live. Except where those protections provide another right or forum, disputes may be brought in the courts located in Edmonton, Alberta.

Please contact us first with a description of the issue so we can try to resolve it. This does not prevent you from exercising a legal right, meeting a filing deadline, or contacting a court or regulator. We do not require binding arbitration or waive any mandatory right to bring a claim in your local courts.

15. Changes and the rest of this agreement

We may update these terms for future use or purchases and show the revised date on this page. We provide additional notice or obtain agreement where required by law. Changes do not retroactively reduce a storage term, refund right, or other purchase commitment already granted, or remove an accrued or mandatory right.

These terms, the Privacy Policy, and the package details agreed at purchase describe the agreement for the service, subject to mandatory law. If a provision is unenforceable, the remaining provisions continue to apply to the extent legally permitted. Our failure to enforce a provision immediately does not waive our right to enforce it later.
